Payroll Process

{primary} YTD Import can be used to import payroll numbers when migrating from another system or if you are getting started to use Sumopayroll in the middle of a financial year.

Step 1:

Go to Payroll--> Click on Run Payroll.

Step 2:

Select the Payroll Batch to start the payroll process.

Step 3:

After selecting the batch, if no payroll was run for that batch, the User will be prompted to select one of the two options.

(i) Import YTD numbers. (ii) Proceed without Import.

Step 4:

If you click on Proceed Without Import button, a list of all pay periods from the time of company signup to current month will be displayed in the pay period dropdown.

Step 5:

Once the User selects the pay period, along with Start Payroll button, employee information like number of employees in the batch, count of draft employees, count of processed employees, total days, working days etc. will be displayed.

Step 6:

Once User clicks on Start Payroll button, the User will be guided with step by step procedure to review the entire payroll details of the employees before submitting to process.

Step 7:

In payroll step 1, Review the Compensation & Expenses information of the employees in the batch for the pay period and click on the Continue button which is at the bottom of the page. In case, if there are any changes in the information you can click on the employee name in the list which will redirect you to the compensation / expenses details page.

Step 8:

In payroll step 2, Review the Time and Attendance information of the employees in the batch for the pay period and click on the Continue button which is at the bottom of the page. In case, if there are any changes in the information you can click on the employee name in the list which will redirect you to the attendance report page.

Step 9:

In payroll step 3, Review the IT Declarations information of the employees in the batch for the pay period and click on the Continue button which is at the bottom of the page. In case, if there are any changes in the information you can click on the employee name in the list which will redirect you to the IT Declarations details page.

Step 10:

In payroll step 4, Review the Leave Encashment information of the employees in the batch for the pay period and click on the Continue button which is at the bottom of the page. In case, if there are any changes in the leave encashment you can update the values in the textboxes.

Step 11:

In payroll step 5, Review employee's missing/invalid information and click on the Submit button which is at the bottom of the page.

{primary} User at any time can go back to previous steps and modify any information until the User clicks on the Submit button in the final review step.

Step 12:

After successful submission, the User will be directed to Payroll Create page where the User can view the Payroll summary in draft status by clicking on Resume Payroll button.

Step 13:

By clicking on Resume Payroll button the User can review entire payroll details and can update any information that needs to be modified before submitting payroll to process.

Step 14:

User can modify payroll details for each employee by clicking on the employee name or edit icon in the Employee Summary list. On clicking on the employee name, a popup will be displayed which consists of all the allowances, deductions, IT declarations and LOP details of the employee.

Step 15:

Review payroll details and if required update employee details and click on Save and employee details will be updated successfully.

Step 16:

On closing the popup, click on Submit for Process to submit payroll.

Step 17:

After clicking on Submit for Process user will be prompted/asked to confirm to start the submission process. Click on the Proceed button.

Step 18:

After clicking on Proceed user will be prompted payroll checks like employee Address, employee Bank information, PAN information etc. If all the checks are passed Proceed button will be displayed at the bottom of the page.

Step 19:

On clicking Proceed button, user will be prompted with totals of gross, net amount, TDS, deductions etc. Review the totals and check all the checkboxes and click on the Proceed button.

Step 20:

On clicking on Proceed button confirmation message will be displayed that payroll is submitted successfully.

Step 21:

Click on Continue button. After submission User can view the Processed Payroll in the Payroll Summary page. The User can view the processed payroll details by clicking on the payroll in the list.
